We are seeking an administration manager for our client based in Gamlingay. The salary is dependant on experience.

Our client is the global leader in the design and manufacture of high-performance conveying and seasoning systems for the food industry. They are a family run business with over 50 years of experience in providing bespoke solutions from the best engineers in the industry. All our equipment is designed and manufactured in-house at our custom-built UK sites in Gamlingay and Biggleswade, providing end to end control to meet exacting standards and exceed industry expectations.

Responsibilities:

  • To line manage the admin team
  • To ensure the following administrative tasks are carried out promptly and accurately, delegating where appropriate:
  • Dealing with spares enquiries and orders, daily spares invoicing
  • Sales order processing
  • Sales Ledger administration
  • Purchase Ledger administration
  • Petty cash management
  • Ensure that telephones are answered promptly and customers greeted
  • Project admin support including contract variations and stage payment reminders
  • Issue technical and regulatory documentation, e.g. manuals
  • Arrange travel for KMG employees, as and when required. Support obtaining travel documentation e.g. passport, letter of introduction and visas
  • Loading new projects into EFACS MRP system
  • Manage export documents. Liaise with local Chamber of Commerce
  • Oversee MRP parts changes and identify/correct pre-shipment parts configuration, weekly
  • Produce draft shipping documents, liaise with freight forwarders, issue final documentation
  • Facilitate catering for customer meetings
  • Support customers with their commercial and internal audit requirements
  • To amend or introduce new admin processes to improve efficiency
  • To attend meetings, as required
  • To undertake any other reasonable duties, as requested by your line manager

Person specification:

  • Good working knowledge of Microsoft Office and Excel
  • Good standard of English grammar, spelling and arithmetic
  • Very organised and of smart appearance
  • Proven supervisory and time management skills
  • Has good problem-solving skills
  • Able to file information manually & electronically
  • Able to communicate over the phone and face to face
  • Able to work independently and in a team
  • Completer finisher, accurate, organised, self-motivated, innovative and willing to go that extra mile when required.
