Our Client is the global leader in the design and manufacture of conveying and seasoning systems for the food industry. We have over 40 years of experience and the best engineers in the industry. We manufacture all our own equipment across our two premises (Gamlingay, Bedfordshire and Biggleswade, Bedfordshire).
They are looking for a Factory Administrator to ensure payroll is run efficiently and employee records are kept up to date.
Duties/Responsibilities:
Payroll
- Monitor daily clock data including tracking holidays, sickness and other absences
- Check hours worked with employees to ensure accurate payroll processing
- Work with the Operations Manager and Director of Resources to ensure payroll data is accurate and up to date, keeping record of any changes needed
- Support the Director of Resources to run the weekly payroll
Pensions
- Communicate with new starters to ensure they are auto enrolled into the company pension scheme within the first three months of employment
- Ensure each pension member has completed a nominated beneficiary form
- Assist with annual pension re-costing
Recruitment
- Keep job descriptions up to date as necessary
- Work with our Preferred Supplier List of recruitment agencies to fill factory vacancies, including advertising new roles and scheduling interviews
- Prepare new starter paperwork, including offer letters and contracts of employment from templates
- Carry out HR inductions for new starters according to written procedures, ensuring all paperwork has been completed and scanned
- Carry out ‘Right to Work in the UK’ checks
- Add new starter information to the payroll program accurately
Occupational Health
- On defined clinic days, create a schedule of attendees and communicate these with employees/their line managers
- Support the occupational health clinician while they are on site as a point of contact
Administration
- Carry out driving licence checks to ensure compliance with insurance policies
- Keep holiday charts up to date
- Accurate notetaking in meetings, such as disciplinary hearings
- Letter writing, using templates, including but not limited to:
- Invitation to employment review meetings, disciplinary/grievance hearings
- Probation letters, e.g. passed, failed, extended
- Annual pay award confirmations
- Resignation acceptance
- Reference requests
- Welfare meetings
- Ensure Return to Work and self-certification forms are completed by Line Managers when an employee returns from any absence
- Keep filing, scanned and uploaded documents in HR files up to date
- Data reporting as requested
- Maintain factory noticeboards, ensuring new notices are displayed promptly and older notices are removed as necessary
- Any other duties as reasonably requested by your line manager and necessitated by the needs of the business
Person Specification
- CIPD Level 3 preferred
- Previous experience in administration useful
- Excellent interpersonal skills
- Attention to detail, accurate and efficient
- Strong problem solving and time management skills
- Experience with Microsoft Office, including Word, Excel, PowerPoint

- Monday to Friday 09:00 - 17:00
